Office Coordinator

The Office Coordinator is the first point of contact for clients, visitors and employees entering the iMethods office. The Office Coordinator will greet everyone in a friendly and inviting manor, making them feel welcome and comfortable. The Office Coordinator will be responsible for managing and coordinating everyday activities in the office, as well as assisting with special events and activities. The Office Coordinator is an in-office position, not eligible for telecommuting. This is a  full time, non-exempt role and reports to the HR Director.

 

Essential Duties and Responsibilities: 

  • Tend the front desk to greet visitors with enthusiasm, welcoming them to iMethods and announcing arrival to the expecting employee
  • Answer the main phone line, directing calls and taking messages as appropriate
  • Accept parcel deliveries and mail, routing to the appropriate recipient
  • Manage outgoing shipments – USPS, Fed-Ex, UPS, USPS, etc; implement and manage processes and procedures for outbound shipments and negotiate rates with vendors
  • Property management – Schedule and manage maintenance appointments and vendor relationships as necessary
  • Order food as needed for meetings, plan accordingly for group size and always be a good financial steward of company resources
  • Participate as a member of the “fun committee”, assisting with planning events for internal employees
  • Manage inventory of office supplies, including coffee and kitchen supplies, replenishing daily and/or as needed
  • Shopping for and stocking snacks and drinks for the office, working within the designated budget
  • Management of the office kitchens to include running and emptying the dishwasher on a regular schedule, organizing refrigerator cleanouts, and keeping paper goods and utensils stocked for use
  • Maintain recognition calendar for consultant birthdays and anniversaries sending monthly to sales and delivery teams
  • Other duties as required

 

Knowledge, Skills and Abilities:

  • Strong written and verbal communication skills
  • Proficient in MS Office
  • Attention to detail with a resourceful mindset.
  • Excellent time management skills with the ability to multi task and prioritize work.
  • Friendly and outgoing personality, with a desire and willingness to serve

 

Required Education and Work Experience:

  • 2+ years of proven experience working in an administrative capacity or similar role preferred.
  • High School Diploma or equivalent required.
