Office Coordinator
As the Office Coordinator at iMethods, you are the heartbeat of our headquarters and the first impression of our culture. You’ll warmly welcome clients, visitors and team members, creating an inviting, professional environment that reflects who we are.
In this dynamic role, you’ll keep daily office operations running seamlessly – from coordinating day-to-day activities to supporting special events that bring our team together. Your attention to detail, organization and positive energy will help create a workplace where people feel supported and connected.
This is a full-time, non-exempt, in-office position (not eligible for telecommuting).
Key Responsibilities Will Include:
- Be the welcoming face of iMethods. Greet visitors with energy and warmth, ensuring they feel at home
- Answer the main phone line, directing calls and taking messages as appropriate
- Accept parcel deliveries and mail, routing to the appropriate recipient
- Manage outgoing shipments, (USPS, Fed-Ex, UPS, etc.) implement and manage processes and procedures for outbound shipments and negotiate rates with vendors
- Property management – Schedule and manage maintenance appointments and vendor relations as necessary
- Order food as needed for meetings, planning accordingly for group size and always being a good financial steward of company resources
- Manage inventory of office supplies, including coffee and kitchen supplies, replenishing as needed
- Shop for and stock snacks and drinks for the office, working within the designated budget
- Maintain the appearance and cleanliness of the office, including oversight of kitchen managements (dishwasher schedule, trash monitoring and weekly refrigerator cleanouts), stocking supplies and ensuring a professional and welcoming environment
- Maintain recognition calendar for internal birthdays and anniversaries, including helping with wrapping and shipping gifts as needed
- Manage technology assets, ensuring accurate tracking, organization and deployment
- Assist with planning and supporting community events hosted onn-site
- Support internal communications for the office, including drafting and helping with the weekly newsletter
- Other duties as required

- Strong written and verbal communication skills
- Proficiency with MS Office Suite
- Attention to detail with a resourceful mindset
- Excellent time management skills and the ability to multitask and prioritize work
- A friendly and outgoing personality with a desire and willingness to serve
Required Education and Work Experience:
- 2+ years of proven experience working in an administrative capacity or similar role
- High school diploma or equivalent required
